The feedback arrived. What next? Turn it into a useful action

Ask customers about a service outcome, assign responsibility for responding and check that comments do not remain stuck in a form.

An illustrative example: a company collects feedback through a form after a service. Responses sit neatly in a spreadsheet while a customer writes again about the same problem. The form heard them perfectly. Nobody was listening beyond it.

Start with the decision you want to make from a response. Feedback is useful when it helps explain an obstacle and change the work. A complex analytics system is not necessary at the outset.

Ask short questions

Ask whether the customer received the expected outcome, what caused difficulty and whether they want someone to contact them for clarification. Do not make them enter the entire order history again.

If using a rating, explain the options and leave space for comments. One number without context rarely tells you what to fix. Avoid combining service quality, response speed and booking convenience into one unclear question.

Choose where responses go

A small team can begin with a form and a shared response list. Assign a reviewer and agree how they learn about new messages. A form existing does not mean notifications are configured correctly.

In Bitrix24, consider a CRM form: a web form whose data is saved in the customer management system. Feedback collection is described in the official guide. Check plan availability and the rules for handling a completed form.

Explain why contact details are requested. Do not call a response anonymous if you collect information linking it to a customer. Restrict response access to people who need it for the work.

Assign a next action

For a comment, define an owner, a clarification method and the expected investigation outcome. Tell the customer their message arrived and explain the real next step. Do not promise a fix before understanding the cause.

If the person asks not to be contacted, account for that in the process. Feedback about a completed service should not automatically become a reason for another promotional offer.

For a team in Kazakhstan, prepare questions in the languages customers use. Check the meaning of translated answer options so the same rating means the same thing.

Check whether the change helped

After investigation, record the cause and chosen action. If an instruction or work step changed, test the next suitable scenario. A closed response is not proof that the problem disappeared.

Do not present a few respondents' opinions as a view of the entire market. Record which services and period responses cover, and which enquiries received no feedback.

QQDev implements Bitrix24. Through the implementation page, you can discuss the route from a form to an investigated comment, even if feedback currently arrives in a messenger. Bring one anonymised response and show where it stopped without a next action.
