“We’ll reply in a minute” on Sunday: check your automated promises

Align opening hours, message wording and the handling queue so an automatic reply does not promise what the team cannot deliver.

An illustrative example: a customer writes on a weekend evening and receives “A manager is replying now”. The office is empty; the queue opens later. The auto-responder has become the company’s most optimistic employee.

An automatic message should explain what happened to the enquiry and when to expect a next step. It does not replace processing or prove that an employee has joined the conversation.

Start with the actual schedule

Write down working hours, days off and the person responsible for enquiries after reopening. Establish the time zone used by the channel, not just the manager’s profile.

For a team in Kazakhstan, reflect actual working arrangements and separate departmental schedules. One line operating in the evening does not make the entire department available.

Agree the internal procedure first, then write the promise. Do not specify a response time that nobody can ensure.

Configure the Bitrix24 scenario

An Open Channel organises enquiries from connected communication channels. Its settings cover working hours and out-of-hours handling; the official instructions describe the procedure.

Check features, plan, permissions and each connected channel’s terms. Having an Open Channel does not confirm automatic support for every messenger.

Consider operator availability settings. They can affect reply behaviour: the official troubleshooting guide explains why checking the message text alone is insufficient.

Write a useful reply

Confirm receipt and explain the follow-up process. Where needed, ask for a suitable contact and a brief description without collecting unnecessary data.

Avoid “we’re resolving it” when nobody has started. Do not promise urgent assistance through an ordinary queue. Mention another contact route only when it actually operates.

Check the message language for the audience. Connecting a channel does not itself mean every text is translated and understandable.

Test boundaries and the morning review

With agreed training enquiries, test business and non-business hours, a moment near opening and the absence of an available operator. Use a controlled channel; do not blindly alter live working hours for a test.

Then follow where the enquiry goes and who handles it after work begins. If nobody checks the morning queue, a perfectly worded auto-reply merely presents a lost enquiry politely.

Record the checks and the configuration owner. Update messages when schedules change, rather than after the first complaint.

QQDev implements Bitrix24 and trains teams. The implementation page is a place to discuss out-of-hours handling. Bring the current reply and the actual working procedure: they should be checked together.
