An illustrative example: CRM marks an order as paid, while the accounting system uses that status merely to mean “invoice issued”. The connection works, records update and employees argue. The integration faithfully moves a misunderstanding from one screen to another.
An integration exchanges data between applications. Before developing it, create a small dictionary: which value in the first system corresponds to which in the second, and under what rule. Shared meaning matters more than similar names.
Start with a business definition
Choose one field that determines an employee’s action, such as “ready for collection”. Write down what event permits that value: the goods are assembled, documents checked or the collection time confirmed?
State who confirms the event and where it can be checked. If departments have not agreed the definition, it is too early to connect their fields automatically. A circle does not become a triangle just because it was transmitted confidently.
Also record why the receiving system needs the field. It may need confirmation of readiness rather than every internal intermediate status.
Describe formats and mappings
For each pair of fields, a clear description is enough:
- the name and purpose in both systems;
- the value type: text, number, date, list or link to another record;
- permitted options and their mappings;
- what a missing value means;
- who approves a change to the rule.
Identical labels do not guarantee identical types. The Bitrix24 CRM field documentation describes identifiers and types. A specialist should check the actual fields in the particular portal rather than guess from the screen.
Distinguish “no”, “unknown” and “not supplied”
An empty value may mean information is not yet known, was cleared or was never included in the sender’s message. These are different situations. Turning every empty value into zero can alter an order’s meaning.
Agree what to do with an unknown list option: stop processing for review, retain the original separately or apply an approved mapping. Do not insert the first available option at random.
For a company in Kazakhstan, include the languages, contact formats and dates actually used in your examples. Labels in different languages should not be treated as technical identifiers.
Test the rule on a small sample
Prepare anonymised examples: an ordinary value, an empty field, a new list option and a correction to previously transferred data. Record the expected result and employee action for each in advance.
In Bitrix24 and the other system, check the record’s meaning as well as its presence. Before implementation, confirm API capabilities—the interface used by applications to exchange data—permissions and product limits. Replacing the CRM is not compulsory.
QQDev develops API integrations. The integration development page is a place to discuss your particular systems and the exchange boundaries. Start with a field the team argues about: a good dictionary can save more discussion than another button.
