Bitrix24 becomes an email provider: what to check before moving a domain

How the new service differs from connecting a mailbox to CRM, and why an existing mail migration begins with checks rather than DNS changes.

Illustrative example: emails have long appeared in CRM, so a manager assumes mail is already hosted in Bitrix24. Another provider actually operates the mailboxes. “Let's move everything” affects company-wide delivery as well as interface convenience.

The official Bitrix24 Mail overview, updated on 28 October 2026, describes an email provider. This differs from connecting an external mailbox to CRM. The guide's update date is not a guaranteed launch date for every user.

Check whether this option is available to you

The instructions state gradual rollout and plan restrictions. For a company in Kazakhstan, first check the service on your portal, contractual conditions and applicability to its zone. A Russian-language page cannot establish availability in every region.

Ask the administrator to show where current mailboxes are managed and who controls the domain. The domain is the company's email addressing foundation; DNS settings tell external systems where its services are.

If current mail suits the team, a new feature alone does not require migration. Compare administration needs, limitations and verified costs rather than a general “everything in one place” impression.

List what must keep working

List personal and shared mailboxes, additional addresses, forwarding rules and applications sending company email. Identify history, folders and customer-record links separately.

Name owners: who confirms sign-in and who tests a shared department address? An automated website email and a manager's reply are different routes; test both.

Do not store passwords in the shared migration plan. Authorised participants configure access under an agreed procedure.

Do not start by changing delivery

The domain connection instructions require preparing mailboxes and transferring messages before changing an existing mail service's MX record. MX identifies where incoming email is delivered.

Agree the sequence, owner and response to unexpected results. Account for the previous service's migration limits and working conditions during transfer. Bitrix24's overview specifically states that sending is unavailable during migration; include this in the work plan.

Do not cancel the old service before verifying results. New mailboxes do not establish that all required history and senders work.

Check independent routes

Using controlled addresses, test incoming mail, outgoing mail, replying to an old conversation and a shared department inbox. Then test connected applications and CRM links.

Check employee access, required folders and searches for important training examples. Record outcomes for each route rather than one “mail works” tick.

If a message is missing, establish its actual state with sender and recipient first. Do not blindly repeat a bulk send: a delivery problem can easily become duplicate messages.

Assess the task first

Ask the administrator to describe the current email route and dependencies. Then decide whether this service benefits your company.

Agree actual scope and migration feasibility after checking conditions. A new feature is a reason to evaluate an option, not urgently replace working email.
