Two CRMs, one order: when to stop parallel data entry

Set a cutover moment, transfer the latest changes and retain clear access to history after moving to another system.

An illustrative example: a team uses the new CRM but keeps entering data in the old one “for reliability”. A week later, amounts and statuses disagree. There is one order and two working versions of the truth. Reliability quietly became a double shift for the salespeople.

CRM means customer relationship management system. When moving between systems, separately plan the point after which new changes are entered in one agreed place. Loading the database does not make that decision.

Set the cutover moment

Specify the date, time and person responsible for the launch decision. Record where new enquiries are created and existing orders updated after that boundary.

For a team in Kazakhstan, explicitly state the time zone. Ask employees to repeat the rule: “After this point, new records go here.” If answers differ, cutover is not ready.

Account for the latest changes

Old data usually keeps changing between the first export and launch. Define how to transfer new records, changes and closures from that interval. Repeating a full load without matching rules may create duplicates or overwrite work already done.

If moving to Bitrix24, loading methods and permissions are covered in the import guide. Check history, attachments and relationships separately for the selected method and source system. An import feature does not promise a complete copy of any portal.

Check active work

Choose several different open orders and check owners, next steps, important materials and customer relationships. See where messages and enquiries now arrive. Stopping old entry must not leave a working form sending enquiries into a forgotten list.

Ask an employee to continue a structurally realistic test enquiry in the new system. Check ordinary role access and team readiness, rather than only the number of transferred rows.

Keep clear access to the past

Stopping parallel entry does not necessarily mean immediately deleting the old system. Decide where required history remains available and to whom. If the platform allows it, consider restricting editing during an agreed archive access period.

Check saved exports for completeness and readability. A customer table alone does not guarantee restoration of correspondence, files and settings. Clarify access and storage conditions separately for each system.

Prepare a procedure for problems

Assign someone to collect launch errors and decide what blocks the work. If a temporary return to the previous tool is needed, define in advance how changes already made in the new one will be accounted for.

If core scenarios still fail testing, reconsider the cutover date. Sometimes retaining and improving the current system is better than continuing an unprepared migration.

QQDev implements Bitrix24. On the implementation page, you can discuss readiness checks for moving from another CRM. Bring a list of active scenarios and explain where new data is created today: it will help establish a clear cutover boundary.
