An illustrative example: an employee writes “almost everything is ready for that customer” in the team chat and goes home. The next morning, a colleague tries to establish who “that customer” is, how close “almost” means and what still needs doing. Meanwhile, the customer waits for a promised call.
A shift handover is a separate work operation. You can organise it before buying software: the next employee needs a clear continuation of the work, not a message archive.
Pass on the next action, not just the past
For each unfinished enquiry, leave a short record: what the person needs, what has been checked, what was promised and what must happen next. Include the time zone with a promised time if the team works across different cities.
“Sort out the order” is hard to act on. “Check availability of the selected model and contact the customer by the agreed time” gives direction. A link or internal reference should identify the contact and order unambiguously.
Do not copy unnecessary personal data into a group chat. Give access to the working record to those who need it, and check that the receiving employee can open the link.
Name the person who will actually continue
A list “for everyone” often means “for nobody”. Agree who owns the enquiry after the shift and who takes over if the assigned person is absent.
Sending a message does not confirm acceptance. A simple response from the receiver is needed: the record opens, the next action is clear and the deadline has been noticed. Missing information must go back to a specific person or shift manager.
At handover, check three groups: awaiting action, awaiting the customer’s reply and requiring a manager’s decision. They should not merge into one “in progress” bucket: each needs a different next step.
Where CRM can help
CRM stands for customer relationship management. It links an enquiry with a customer record and the history of work. Bitrix24 is one tool to consider when a team needs shared context and a visible owner.
One possible scenario keeps unfinished work in an enquiry or deal record, while an internal assignment links to it and describes the expected outcome. Do not make people manually maintain the same information in two places.
The official Bitrix24 task guide describes keeping a description, files and discussion in a task. Check the handover method, permissions and available features in your own portal before starting.
Rehearse a handover
Take an anonymised example and ask someone from the next shift to continue without verbal hints. Have them show where they find the customer commitment, who makes decisions and what they will do first.
Then complicate the example: the main employee is absent, the customer changes the request or a file will not open. A mistake in training is cheaper than a morning conversation with an already frustrated customer.
For a company in Kazakhstan, separately agree the language for internal notes and how to retain the customer’s preferred communication language. Translating a name or changing language must not turn one enquiry into two.
Start with one rule
At the next handover, make this question mandatory: “Who does what next?” Without an answer, the enquiry has not yet been handed over. After several real handovers, review what information was missing and refine the template.
QQDev implements Bitrix24 and trains employees in working scenarios. The implementation page is a place to discuss enquiry handovers even if they currently live in a notebook or another system. Bring an anonymised shift example: it is more useful than a list of desired buttons.
