Starting over every Monday: set up a recurring task with a clear outcome

A schedule repeats assignment creation, not the work. Check the template, deadline, owner and what happens when the previous task remains open.

An illustrative example: a manager manually reminds the team to review work materials every week. They set a recurrence and tasks start appearing automatically. A month later, the description is outdated and one employee has changed roles. Automatic assignment faithfully repeats yesterday's agreements.

A recurring task helps ensure an assignment is created on schedule. Its outcome, content and participants still need the team's attention.

Describe the repeated outcome

Choose an action that genuinely repeats by the calendar. For example, check website contact details and record discrepancies. “Work on the website” does not explain when the work is complete.

Specify materials, a short checking procedure and somewhere to record the result. Avoid an attachment that becomes outdated after the first run if the process needs a current source.

Separate creation from the deadline

Bitrix24 creates recurring tasks from a scheduled template. Features are described in the recurring task overview, with template settings in a separate guide.

When an assignment appears and when the outcome is due are different conditions. An employee needs time to do the work. Check the dates and times the generated task receives, not only the period label in the template.

For a team in Kazakhstan, agree on the time zone and working calendar. Check non-working-day creation in the settings for the particular recurrence option. Confirm tool and option availability on your portal.

Run the first cycle

Check that the task appeared for the correct person, materials are accessible and the deadline matches the agreement. Ask the employee to show where they record the result. A created assignment does not mean a completed check.

Separately establish what happens if the previous task is still open at the next recurrence. Agree who notices a growing backlog and investigates. Do not expect the schedule itself to assess team capacity.

If new work should start only after the previous work finishes, specify that separately. Calendar recurrence should not be the default for every sequential process.

Maintain the template

Assign an owner to review participants, instructions and schedules when the process changes. After editing, check future generated tasks and existing open tasks separately: do not assume every record behaves identically.

When work is no longer needed, manage recurrence deliberately. Do not make employees close an unnecessary task each week just to tidy their list. Keep the intended behaviour description so the process can be restored without guessing.

QQDev implements Bitrix24 and trains teams. On the implementation page, discuss a repeated assignment: what should appear on schedule, which result is needed and who checks it. Start with one regular job the team currently has to remember manually each time.
