An illustrative example: a manager opens a saved list and sees few deals. The team says there is plenty of work. The filter turns out to include only last month's records and one owner. The list was not arguing: it faithfully applied an old configuration.
A filter selects records according to conditions. Before judging the situation from a short table, check whether those conditions match the manager's current question.
Put the question into words
For example: “Which active deals in the selected department need my decision?” Clarify what active means and where the need for a decision is recorded. A neat filter name does not create that indicator in the data.
Write down which records belong in the list and which do not. Different management actions usually need separate clear sets rather than one filter for every occasion.
Check what the conditions mean
In Bitrix24, current stage and stage history answer different questions. One shows the present position; the other includes past transitions. Options are described in the official filter guide. Filtered search availability depends on the plan.
Clarify which event the chosen date concerns: creation, completion or another change. For a team in Kazakhstan, agree the period and time zone when checking boundary cases.
A missing result does not mean the record is absent from CRM. First check the condition combination and intended pipeline.
Check permissions separately
Employees only see records available to them. The CRM role guide describes reading permissions and other actions. Filter conditions do not expand access.
Apply identical conditions from an ordinary role's account and the manager's account if both participate. Investigate differences through specific records. Do not grant full access just to make an on-screen number match.
Use control examples
Take several anonymised test records: one should appear, another should not, and a third tests a date or status boundary. Explain each result through the conditions.
Saving a filter is covered in the List view guide. Reopen the saved set and check its parameters: the name may remain unchanged after the need changes.
Assign a next step
For a found record, the manager's action should be clear: decide, clarify information or pass a question to the owner. The filter finds work rather than doing it.
Review the set after changes to fields, stages or team structure. QQDev implements Bitrix24. On the implementation page, discuss useful work lists: bring one management question and examples of records that should and should not appear.
