CRM and accounting software: who owns the truth about an order?

If sales and accounting already use different programs, agree on data responsibilities first. One connection need not mean replacing every system.

A hypothetical salesperson corrects a customer’s name in CRM while an accountant corrects it in the accounting program. After synchronisation, a third version appears. The programs seem to be arguing. Nobody actually told them who makes the final decision.

CRM manages customer relationships. Accounting software handles its own work, such as products, documents and settlements. If both already work, start with an exchange map rather than replacing everything.

Assign an owner to each type of data

You need not choose one master program for everything. Identify where each type of information is created and corrected.

For example, the salesperson maintains the customer’s requirements in CRM, while confirmed payment information comes from accounting. This is a design decision for a particular company, rather than a universal rule.

For each field, answer four questions: who enters it, who checks it, where does it go, and what happens when values differ? Two places for manual editing without a conflict rule invite disagreement.

Describe one event instead of “full synchronisation”

Start narrowly: transfer an order after approval. Define what approval means, which data is required, and who receives an error notification.

“Synchronisation” can hide different actions. Creating an order, updating its contents, and receiving payment information may require separate rules. Propagating deletion must not be assumed either.

Check how records are linked. Which stable identifier lets the other system find an order already transferred? A similar name alone is insufficient.

Considering Bitrix24 among the options

Bitrix24 can connect to external systems through a suitable application or custom development. There is an official overview of different 1C integrations. Inclusion in an overview does not establish compatibility with your configuration.

Before choosing, check the other program’s version and customisations, available exchange interfaces, permissions, subscriptions and regional terms. A company in Kazakhstan must separately check its local configuration. “Works with any 1C” does not replace that assessment.

If your current CRM meets sales needs, keeping it is an option. Compare the cost and limitations of the required integration with migration and team training.

Accept the result in both systems

Use a training order to check:

Successful sending does not yet mean a correct order at the destination. Compare contents and record links. Specify an acceptable delay separately: “immediately” is a poor acceptance criterion.

Starting the discussion

Bring program names and versions, an anonymised order, and a list of manual transfers. QQDev designs Bitrix24 integrations with accounting systems and error handling. Use the integrations page to discuss an exchange map while keeping existing tools wherever that makes sense.
